Core Concepts
These terms explain how KeyVault thinks about license inventory and delivery.
License key
A unique value with a lifecycle status such as Active, Delivered, Reserved, Custom, Replaced or Revoked.
Stock
The number of Active/Available keys ready for a product. Delivery changes the row status and reduces available stock.
Delivery
The act of attaching a key to an order and making it available through the configured customer channel.
Module
An optional capability such as Stock Manager, Analytics, Top Customers or Delivered License Reports.
Demo-only data used on this page: fictional products, names, orders and keys are examples. No image or live store data from the supplied PDF is embedded in this HTML.
Every Feature, Explained
Search from the sidebar or use the quick category buttons. All feature content remains present in the HTML for reading and search visibility.
Feature categories
01
Premium License
Verify and activate the SG365 entitlement, view expiry and remaining days, then enable eligible premium modules. If the entitlement is inactive, the domain is not activated, site limits are reached, the product does not match or cached status is too old, premium modules stay locked while core free features continue.
Open KeyVault for WooCommerce → Premium.
Paste the SG365 key and select Verify License.
Review status, expiry and remaining days, then select Activate License.
Open Settings → Modules and enable the premium modules required for this site.
02
Security & Encryption
Keys are encrypted before storage and decrypted only during authorized delivery, copy, export, replacement or download workflows. A secure hash allows duplicate detection and exact lookup without plaintext database search.
New and upgraded keys are encrypted in the KeyVault tables.
Admin AJAX actions require capability and nonce checks.
Customer downloads verify the logged-in customer or order owner.
Encryption protects stored values, but authorized workflows must still reveal the real key when the customer needs it.
03
All Licenses
The master inventory table for every key. Filter by status, search by key/product/order, inspect details and perform bounded bulk actions.
Status filters: All, Delivered, Active, Reserved, Custom, Replaced, Revoked and Deleted.
Live search refreshes without a full page reload.
Bulk actions can reserve, activate, replace, delete or export selected rows.
View options control columns, full product names, rows per page and top actions.
04
Orders Status Column & Pending Delivery
WooCommerce Orders gains a compact KeyVault Status column and a native Pending Delivery queue for fresh stock shortages.
Delivered means every required stock key is attached and delivered.
Not Delivered means a KeyVault product still lacks expected keys.
Pending Delivery is used for a real shortage that occurs after the queue workflow is active.
Use system checks and source-of-truth inventory before assuming a delivery or stock problem.
If email is missing, verify wp_mail/SMTP, order assignment and stock.
Use Resend Email after confirming the order actually has a key.
If stock looks wrong, confirm the product is enabled and run Recalculate stock.
Use Tools → System Status for checks and required toggles.

Hooks & Filters
Add these to a custom plugin or carefully maintained child theme when extending KeyVault.
// Run code after a key is delivered
do_action('keyvault-for-woocommerce_after_deliver', $order, $rows);
// Modify the email template at send time
apply_filters('keyvault-for-woocommerce_email_template', $template, $order);
// Override generated key format
apply_filters('keyvault-for-woocommerce_generate_key', $key, $product_id);

Every release is displayed as a simple expandable section so the popup remains reliable on Elementor and mobile devices.
v2.0.0Order Editing, Rebuilt
The missing finish button is back, bulk quantity is obvious, and every order-key dialog now feels deliberate instead of cramped.
Added
The Add License Key popup now shows purchased quantity, required licenses, attached licenses and the exact remaining quantity.
Premium bulk add includes a live entered-key counter and an explicit administrator override checkbox when pasted keys exceed the ordered quantity.
Improved
Add + Complete is displayed reliably for Processing and Pending Delivery orders, including HPOS order screens and manual license lines.
Add, Replace and Unassign dialogs use a wider responsive layout, clearer quantity context, cleaner spacing and mobile-safe scrolling.
Replace options use consistent custom checkbox cards instead of browser-dependent checkbox alignment.
Fixed
Fixed Add + Complete disappearing when WooCommerce normalized data attributes differently.
Full-order completion now verifies every normal KeyVault requirement plus the currently edited manual license line before changing the order to Completed.
Custom Delivered now appears correctly in WooCommerce Orders and is detected across current, legacy, parent, variation and later-disabled product records.
Security
Ordered-quantity overrides are premium-only, custom-bulk-only, nonce/capability protected, bounded and written to WooCommerce order notes.
The server independently recalculates ordered, attached and missing quantities; browser counters are never trusted as authorization.
v1.7.0Customer Choice & Safer Order Editing
Two email paths when needed, two premium customer vault styles, and no accidental extra keys after an order line is fulfilled.
Added
Both Emails mode sends the dedicated KeyVault email and inserts delivered keys into the WooCommerce customer Completed email.
Premium sites can choose Aurora Vault or Midnight Shield in My Account setup.
Improved
Named Cancel buttons were removed from order dialogs; close icon, Escape and backdrop remain available.
Stock Manager now uses the same numbered pagination and jump-to-page pattern as All Licenses.
Fulfilled products show a success panel directing admins to Replace or Unassign.
Fixed
Both Emails mode shares the same pre-email allocation and customer-only filtering used by WooCommerce Completed Email mode.
Manual order actions cannot attach more keys than the ordered quantity.
The My Account CSV toggle now saves correctly through AJAX.
Security
Variation actions resolve the exact stock owner from the real order line and reject ambiguous variation requests.
Premium My Account template values are allow-listed.
Settings fallbacks use the same allow-list as AJAX saves, and bulk actions are bounded.
v1.6.0Smarter Stock Views & Order Actions
Less squinting, fewer clicks, and a safer finish line when an order is ready to close.
Added
Stock Manager gained a Full product names setting for every device.
Processing and Pending Delivery orders now show Add + Complete on the order-edit popup.
Documentation and Changelog gained the Site Guard 365 brand and direct Contact Us link.
Improved
Add, Replace and Unassign popups were rebuilt with responsive layouts, scroll-safe bodies and sticky actions.
Order-edit actions remain usable on phones, tablets and narrow WooCommerce panels.
Fixed
Add + Complete changes the order to Completed only after every required KeyVault license across the full order is attached.
Stock Manager product names respect the Full product names setting.
Security
Order-edit AJAX rejects product IDs not present on the order, validates expiry dates strictly and bounds custom-key payloads.
Stock lookup uses prepared placeholders.
Settings AJAX accepts only declared KeyVault keys.
v1.5.0Delivery Reliability & Security Pass
Partial stock moves fast while email timing, downloads and background security are much harder to trip up.
Added
Pending Delivery supports true partial fulfilment: available keys are applied immediately and only the shortage remains pending.
Stock Manager pins Pending Delivery shortages above normal stock rows in red.
All Licenses includes compact View options for full product names and top bulk actions.
Improved
Email Delivery Mode was rebuilt around Dedicated License Email or WooCommerce Completed Email.
Pending Delivery recovery scrolls internally and Stock Manager supports horizontal table scrolling on smaller devices.
Bulk imports suspend stock sync only inside the current request and update WooCommerce stock once.
Fixed
WooCommerce emails allocate keys before transactional email preparation.
Block-email and classic email renderers are supported with duplicate-output protection.
Reserved licenses are not treated as customer-delivered keys.
Failed email sends report failure honestly.
Auto-complete runs only after full-order delivery.
Security
Customer downloads verify ownership; guest downloads also require the order key.
CSV uploads are bounded and spreadsheet formula prefixes are neutralized.
Premium webhooks have payload limits and replay protection.
Custom WhatsApp webhooks use safe remote requests.
Encryption fails closed if secure AES-GCM or secure randomness is unavailable.
Deleted keys require a successful encrypted audit snapshot before deletion.
v1.4.0Pending Delivery, Under Control
Fresh stock can rescue fresh shortages without pulling years of old backorders into the queue.
Added
A native Pending Delivery order queue appears after All in WooCommerce Orders.
Only shortages that happen after v1.4.0 enter this queue; historical backorders remain unchanged.
Fresh-stock recovery can list matching orders and apply stock in batches.
Improved
KeyVault Status is icon-only with hover text and screen-reader labels.
Recovery runs selected orders in small batches.
Importing stock asks the administrator what to do instead of silently fulfilling old orders.
Fixed
Primary button icons remain visible in normal, hover and focus states.
Recovered orders return to their previous status after full fulfilment.
Security
Recovery requires administrator capability and nonce checks.
Status-indexed lookups are bounded and no site-wide historical migration runs.
v1.3.0Reports & Tools, Rebuilt
A faster Reports page, a real Tools dashboard and an optional migration path.
Added
Tools became a maintenance dashboard with database health, system readiness, license totals, generated reports, active modules, migration status and maintenance actions.
Settings gained an off-by-default Migration tools switch.
Improved
Reports filtering, preview pagination, history and generation all run over AJAX.
Generation processes 25 rows per request with progress, speed and ETA.
Temporary failures can pause/resume and Stop cancels unfinished jobs.
Security
Migration UI stays hidden and migration endpoints remain blocked server-side while the switch is off.
v1.2.0Delivered License Reports
Useful exports without spreadsheet chaos.
Added
Delivered License Reports replaced the Coming Soon screen with date/product filters, 20-row preview and report history.
Secure CSV, Excel-readable and TXT downloads include order, customer phone/email, product and delivered-license data.
Retention, output-format choices and report-ready emails were added.
Security
Report actions and downloads require administrator capability and nonces.
Spreadsheet formula-like values are neutralized.
v1.1.0Order Visibility & Cleaner Docs
Know a license state without opening every order.
Added
KeyVault Status was added to WooCommerce Orders with native Screen Options support.
Documentation gained an in-page changelog popup.
Fixed
Order Add Key and replacement workflows respect the Allow duplicate license keys setting.
Removed
The Report Inbox customer/admin reporting workflow was removed.
v1.0.0The KeyVault Foundation
Where the complete licensing workflow began.
Added
Encrypted license inventory, product assignment, search, imports and exports.
WooCommerce product controls, automatic email delivery, optional WhatsApp delivery and customer My Account license access.
Stock Manager, stock synchronization, analytics, migration tools and order-level workflows.
Security
Encrypted-at-rest keys with a one-way hash for duplicate checks and exact lookup.
Select the fields to be shown. Others will be hidden. Drag and drop to rearrange the order.
